Volunteers 2020

It’s that time again —
 
With a new year approaching, it is transition time for the MGA as executive and volunteer roles come to completion. We’re calling on members to contribute a little of your time and talent so we can keep this creative group running for the next two seasons. Please read through the available positions below and see where you can best put your talents to use. 

Plenty of guidance by those currently holding positions will be available to you throughout the transition year.

EXECUTIVE POSITIONS (2020—2022):
Executives are eligible for a free workshop of their choice the following season. Presidents become Lifetime Members of the MGA once their tenure is complete.
 
President
The President provides leadership in the management, development and advancement of this not-for-profit group
Duties include:
• Keeping the Executive members informed and functioning in a proper manner 
•  Chairing all meetings, but may periodically designate another member of the Executive to assume this duty
 
Vice-President 
The duties of the Vice-President include assisting the President in all duties and perform the duties the President in the President’s absence. 
 
Secretary
The Secretary will prepare minutes of all Executive and General Meetings and post these to the website. There are 2 AGMs in the season—December and May.
 
Treasurer
• The Treasurer manages the finances of our group, both income and expense:
• Receiving, depositing, and recording all cheques and cash
• Recording payments against invoices on the website
• Issuing cheques and securing a second authorization signature
• Maintaining records of all receipts and expenditures
• Reporting financial status at each Executive meeting and all General Meetings 
• Issuing member refunds as required and updating the invoice appropriately
• Managing the accounts receivable
• Reconciling the bank statement to the website invoices and credit card processor reports
• Creating annual financial statements 
• Collecting fees on Members’ Days
• Managing insurance

VOLUNTEER ROLES:
After completing 2-year tenure, all volunteers are eligible for a free workshop of their choice the following season.
 
Membership Registrar
 
The Membership Registrar inducts new members into the group and maintains the member database on the website. Duties of the Registrar include:
 
  • Creating a member profile from the invoice generated when new members join online
  • Issuing usernames and passwords for new members and recording the year a member joined
  • Recording the date paid for renewing members
  • Registering members who have no Internet access
  • Updating members' records with photos, website links and other information as required
  • Assisting members with website logon as required
  • Keeping track of renewal and non renewal of membership
  • Obtaining information from members about their profile changes and processing the
Show/Sales Director
 
The Show/Sales Director is responsible for working with our veteran show team Shirley Turchet, Lynn Ross and Susan Weisz in the scheduling and execution of group shows.  Annual Juried Show occurs in May at the McKay Art Centre; non-juried show in the fall at available venue. 
 
Progam Director(s) 
 
The Program Director procures speakers or guest instructors for monthly Members' Days, and instructors for monthly workshops.  
 
  • Working out a balanced program for the given season
  • Contacting artists, securing dates for their presentations or workshops
  • Gathering descriptions of presentations and workshops from the artists, images of the artists and their work and biographical information for introductions 
  • Creating course descriptions on the website with gathered materials
  • Maintaining the list of upcoming workshops on the website 
  • Providing course and Members' Day information to the Communications Director for publication in time to meet deadlines
  • Establishing the member and non-member fees for workshops (dependent non cost of venue + instructor fee) 
  • Writing and posting descriptions of each Members' Day activity on the website 
  • Negotiating fees with presenters and workshop leaders
  • Providing the Treasurer with a list of the artists and their fees 
  • Booking the venue and providing information about the cost to the Treasurer
  • Maintaining a monthly financial status of workshops
  • Cancelling workshops when enrollments are not sufficient and communicating this to enrollees
  • Monitoring enrollments
  • Conducting feedback surveys
Member-Communications Director
 
The Director communicates information of interest to members in a timely fashion through channels approved by the Executive, and according to the guidelines provided by the Executive and distributing the emails through the MGA website
 
Website Director  Helps to have decent computer skills, although online ‘How to’ Tutorials are available on our site. 
 
The Website Director is responsible for the overall integrity of the website content:
  • Ensuring that the content of the website is current, accurate and appealing
  • Creating and managing all content that is not the responsibility of other content managers
  • Providing assistance and direction to other content managers
  • Resolving technical problems
  • Granting permissions to other content managers as required
  • Proposing technological solutions to support the needs of the group
  • Interfacing with the credit card processor as required
